Your office printer should be a tool that makes your work easier—not something your team dreads using. If it feels like you're constantly fixing paper jams, struggling with outdated features, or spending too much time troubleshooting, it may be time to consider an upgrade.
Here are four common signs it might be time to lease a newer, more efficient office printer: 1. Constant Paper Jams Are Slowing You Down Paper jams happen, but when they become a regular occurrence, they're more than just a nuisance. Frequent jams can lead to wasted paper, frustrated employees, and even missed deadlines. Older printers are more prone to these issues as internal parts wear down over time. If you find yourself clearing paper jams weekly (or even daily), it might be time to invest in a newer, more reliable model. 2. Your Current Printer Lacks the Features You Need Today’s office printers come with a wide range of features designed to improve efficiency, flexibility, and security. If your current machine doesn’t offer WiFi printing, mobile compatibility, cloud scanning, or double-sided printing with a single pass, your team is likely spending extra time on tasks that should be simple. Leasing a new printer gives you access to the latest technology without a large upfront cost. 3. Your Printer Model Is Outdated or No Longer Supported Technology evolves quickly, and if your printer is more than 5–7 years old, it may no longer be supported by the manufacturer. That means software updates and replacement parts could be hard to come by—not to mention increasingly expensive. An unsupported printer is a ticking time bomb for downtime. Leasing a newer model ensures consistent support and up-to-date functionality. 4. Your Staff Is Wasting Time Troubleshooting When your employees spend more time figuring out how to get the printer to work than actually printing, scanning, or copying, you have a productivity problem. Whether it's confusing menus, inconsistent performance, or constant fixes, your team deserves better. A modern printer can streamline processes and help your office run more smoothly. Ready to Upgrade? Leasing a new printer is a smart, flexible solution that gives your business access to the latest technology without the commitment of an outright purchase. At iDoc Corp, we offer a variety of lease options to meet your workflow and budget needs. Ask about our current Monthly Special! A reliable office printer is a crucial part of daily operations, but over time, even the best machines start to show signs of wear. If you’ve been experiencing frequent breakdowns, slow performance, or outdated features, it may be time to consider an upgrade. Here are some key signs that your office printer is no longer meeting your needs—and how upgrading can improve efficiency.
1. Frequent Service Issues & Productivity Delays If your team is constantly troubleshooting jams, streaky prints, or frequest breakdowns, your printer is costing you more than just repair fees—it’s impacting productivity. Frequent breakdowns can lead to downtime, frustrated employees, and delayed work. Upgrading to a newer, more reliable model ensures smoother workflows and fewer interruptions. When to upgrade: ✔ If your printer requires multiple service calls per year ✔ If downtime is affecting business operations ✔ If troubleshooting is taking up valuable employee time 2. High-Demand Environments Wear Printers Down Just like a high-mileage car, printers in fast-paced offices, legal firms, or high-volume environments endure heavy use. Over time, parts wear out, and performance declines, making it harder to keep up with demand. If your current printer struggles to handle your workload, upgrading to a higher-capacity machine can save time and frustration. When to upgrade: ✔ If your office prints thousands of pages per month ✔ If your printer speed can’t keep up with the constant demand ✔ If employees are waiting in long queues for prints 3. Missing Out on Newer Features & Technology Printing technology has advanced significantly in recent years. If your office is still using an older model, you may be missing out on features that could boost efficiency and security. Upgrading gives you access to: 🔹 Wireless & mobile printing – Easily print from any device, anywhere in the office 🔹 Advanced security features – Protect sensitive documents with secure print release 🔹 Cloud integration – Seamlessly scan and save documents to the cloud 🔹 Faster print speeds & improved quality – Save time and reduce waste with sharper, more efficient printing 4. Parts & Consumables Are Being Phased Out Older printer models often become difficult (or expensive) to maintain when manufacturers phase out replacement parts, toner, or software updates. If your printer is reaching the end of its support life, finding repairs and supplies will become a hassle. Instead of waiting for your printer to become obsolete, consider upgrading before parts become scarce. When to upgrade: ✔ If your printer’s manufacturer is no longer offering updates ✔ If replacement toner or parts are becoming harder to find ✔ If repair costs are increasing due to discontinued components 5. Your Business Needs Have Changed As your business grows, your printing needs evolve. If your current printer no longer aligns with your workflow—whether it’s lacking speed, quality, or functionality—it’s time to invest in a machine that can keep up. Consider upgrading if: ✔ Your team needs higher-capacity scanning or automated document workflows ✔ You’ve expanded and need a networked printer for multiple users ✔ You’re spending more time managing print issues than running your business Explore Your Upgrade Options with iDoc Corp If you’re experiencing any of these issues, upgrading your office printer can save you time, money, and frustration. Spring is the perfect time to give your office equipment some much-needed care—especially your printer. Proper maintenance not only extends the life of your machine but also ensures consistent, high-quality prints and scans. Here are some easy and effective tips to keep your printer in great shape and reduce the need for interruptive service calls.
1. Wipe Down Surfaces to Keep Germs Away Printers are high-touch devices, making them a hotspot for germs. Use a sanitizing wipe to wipe down external surfaces, followed by a dry cloth to prevent moisture buildup. This not only keeps your printer clean but also helps reduce the spread of germs in your office. 2. Clean the Scan Glass for Crisp Scans That thin strip of glass on the left side of your printer’s scanner bed might not seem important, but even a tiny speck of dirt can create a black line across your scanned or copied documents. Use a lint-free cloth to gently clean this area regularly to avoid smudges and streaks. Pro Tip: Clean the scan glass weekly to ensure your documents always look professional. 3. Check and Adjust the Paper Tray Guides Misaligned paper can cause jams, uneven printing, or crooked pages. Make sure the paper tray guides are touching the edges of your paper stack, keeping it straight and snug. Proper alignment prevents frustrating issues and ensures smooth operation. 4. Avoid Overfilling the Paper Tray While it’s tempting to load as much paper as possible into the tray, overfilling can cause jams and damage to your printer. Stick to the recommended paper capacity for your specific model, and always use high-quality paper for best results. 5. When in Doubt, Schedule a Service Call While these DIY tips can help you maintain your printer day-to-day, some issues require professional expertise. iDoc Corp offers as needed service calls, either by phone or in person, to address any printer issues quickly and effectively—because we know how important it is to keep your office running smoothly. Take these steps today to avoid downtime and keep things running smoothly! When it comes to leasing a printer, businesses are often faced with two common options: FMV (Fair Market Value) leases and $1.00 Buyout leases. Both options have their unique advantages, but understanding the key differences will help you choose the best fit for your business needs and budget. Let’s break them down.
What Is an FMV Lease? An FMV lease offers a budget-friendly solution by providing lower monthly payments. At the end of the lease term, you have the option to return the equipment, upgrade to a newer model, or purchase the printer at its fair market value. Advantages of an FMV Lease:
What Is a $1.00 Buyout Lease? With a $1.00 buyout lease, you pay slightly higher monthly payments, but at the end of the lease, you can purchase the printer outright for just $1.00. This option is essentially a lease-to-own model. Advantages of a $1.00 Buyout Lease:
Key Considerations When Comparing Leases When comparing quotes from multiple vendors, it is important to make sure you are comparing apples to apples, that is, you should make sure you are comparing FMV lease options with other FMV lease options, not with $1.00 Buyout options. When deciding between an FMV lease and a $1.00 buyout lease, consider the following:

One often overlooked component of office productivity is the printer. While many businesses are tempted to hold onto their printers as long as possible, there comes a time when replacing your printer is not just a luxury, but a necessity. Here are some key signs that it might be time to upgrade your printer.
1. Your Printer Lacks Modern Technological Advances Technology is constantly evolving, and printers are no exception. If your current printer is more than a few years old, it might lack the latest features that newer models offer. These advances can include faster printing speeds, higher print quality, wireless connectivity, mobile printing options, and improved security features. For instance, newer models often come equipped with features like cloud printing and mobile device compatibility, which allow you to print from anywhere. These features not only make your workflow more flexible but also improve overall productivity. If your current printer lacks these advancements, it may be time to consider an upgrade to keep your business running smoothly. 2. Parts and Supplies Are Becoming Scarce As printers age, manufacturers eventually phase out the production of parts and supplies for older models. This can make maintenance and repairs increasingly difficult and expensive. If you're finding it harder to source replacement parts, toner, or ink cartridges for your printer, it’s a clear indicator that your model is becoming obsolete. Operating an outdated printer can lead to part delays causing prolonged downtime when repairs are needed, which can severely disrupt your business operations. By upgrading to a newer model, you ensure that parts and supplies are readily available, minimizing downtime and keeping your office running efficiently. 3. Frequent Stoppages and Operational Issues Another sign that it’s time to replace your printer is when it starts causing frequent interruptions in your workflow. Are you experiencing constant paper jams, error messages, or slow printing speeds? These issues can be frustrating and time-consuming, affecting your team’s productivity. Older printers tend to wear out over time, leading to an increase in operational problems. If your printer is causing more headaches than it’s worth, it’s time to consider a replacement. Investing in a new, reliable printer can save you time, reduce stress, and improve your overall business efficiency. Conclusion Knowing when to replace your printer is key to maintaining a productive and efficient workplace. If your printer is lacking modern technology, becoming difficult to maintain, or frequently causing operational issues, it’s time to consider an upgrade. At iDoc Corp, we offer a wide range of affordable printer leasing and rental options tailored to meet the needs of businesses in the DFW area. Contact us today to find the perfect printer solution for your office. We understand that printers, while essential, can sometimes be perplexing. Following our first article on common printer misconceptions, we’re back with Part 2. Here are three more common misconceptions that we encounter frequently, along with solutions to help you keep your printer running smoothly.
My prints are coming out light, should I replace all of the toners? This is a question we hear quite often and while it makes sense intuitively that light prints are caused by low toner, that is usually not the issue. Solution: More often than not a drum is at the root of the problem rather than toner. Call your service professional and let them know that your prints are light. If you have a color printer, be sure to tell them which specific color or colors are printing light so that they can be sure to bring the right one(s). Once the drum is replaced, your prints will look as good as new! I'm Getting Lines on My Scans – Is My Scanner Broken? One of the most common concerns we hear is about lines appearing on scanned documents. Many users immediately assume that their scanner is malfunctioning. Solution: In most cases, the issue isn't with the scanner itself but rather with a dirty scanner glass. Even a small speck of dust or white-out on the thin strip of glass that scans the document can cause lines to appear on your scans. To fix this problem, simply clean the thin glass strip on the left side of the large glass plate. This should remove the lines and restore the quality of your scanned documents. I’ve Just Replaced a Toner and I’m Getting a Message That the Toner Is Not Compatible! Since the COVID-19 pandemic, many users have encountered issues with newly replaced toner cartridges not being recognized by their printers. This has led to frustration and the misconception that the toner is not compatible. Solution: Due to supply chain issues, some toner cartridges may lack the chip that the printer is expecting. However, if the toner fits properly and the box has a Canon hologram on it, you can usually resolve this issue by selecting "I Agree" when prompted by the printer. This should allow the printer to use the toner cartridge without any problems. Many Problems Appear to Be Printer Issues When They Are Actually Network Issues Printer problems can often stem from network issues, especially after a storm or changes to network hardware. Solution: After a power outage or storm, your printer may lose its connection to the network. To fix this, start by restarting your network and ensuring that your internet connection is stable. Then, restart the printer to re-establish the network connection. If the problem persists, it may be due to a change in IP ranges. In such cases, you may need to reload the printer onto the network. It's best to contact your IT department or printer service company for assistance, as this can be a complex process. Keep in mind that network-related issues might incur additional service charges. Addressing these common misconceptions can save time and reduce frustration. By cleaning scanner glass, understanding toner compatibility, and recognizing network-related issues, you can keep your printer running efficiently. As always, iDoc Corp is here to provide expert advice and service whenever you need it. By staying informed and proactive, you can ensure that your printing operations remain smooth and trouble-free. Happy printing! |
