Four Common Printer Misconceptions and How to Fix Them

Printers are indispensable yet often misunderstood tools. At iDoc Corp, we have encountered numerous misconceptions that lead to client frustration and unnecessary service calls. To help you troubleshoot more effectively, we’ve outlined four common printer misconceptions and how to resolve them.

1. My Document Is in the Printer Queue but Won’t Print

A common issue we hear from clients is that their document is stuck in the printer queue and won't print. This problem is often due to a mismatch between the document's paper size and the printer tray's paper size.

Solution:
The fix is straightforward. Go to the printer and select the appropriate paper tray that matches the document's size. This will force the printer to use the correct tray and proceed with printing. If your document size frequently differs from the standard paper sizes loaded in your printer, consider setting up custom paper size settings in your printer preferences to avoid this issue in the future.

2.  I Can’t Print at All! Is the Printer Broken?

Another frequent concern is the inability to print anything, leading to the assumption that the printer is broken. More often than not, this occurs because the printer and the computer are on different networks.

Solution:
To resolve this, check the network settings on your computer. Click on the network icon, which typically looks like a fan, and ensure that your computer is connected to the same network as the printer. If they are on different networks, switch your computer to the correct network and try printing again. If network issues persist, consult with your IT department to ensure that your network settings allow for seamless printer connections.

3. Post-Storm Printing Issues

After a storm and power outage, it’s common for printers to lose their connection with computers, leading to printing or scanning issues.

Solution:
To reconnect, turn off the main power button on the side of the printer, wait for about a minute, and then turn it back on. This reboot often re-establishes the connection between the printer and the local computers. If this doesn’t resolve the problem, don’t hesitate to contact us. Often, our technicians can troubleshoot and fix the issue over the phone, sparing the need for an on-site visit.

4. Waste Toner Replacement Confusion

When the printer indicates that the Waste Toner needs replacement, some users mistakenly think all the toner cartridges must be replaced.

Solution:
It’s important to understand that the Waste Toner is different from the regular toner cartridges. The Waste Toner container collects discarded toner that wasn’t used in printing. This container needs to be replaced when it is full, not when the toner cartridges are empty. Typically, we leave an extra Waste Toner container with your printer supplies, so you can replace it quickly and continue printing. Only replace toner cartridges when they are empty, as indicated by the printer.
